Candidate privacy notice

Vert Energy Group collects and uses candidate information for recruiting and hiring purposes. This may include your name, contact information, address, resume, employment history, professional profiles, application and questionnaire responses, interview notes, interview recordings and transcripts, recruiter notes, hiring-stage information, and information obtained from professional recruiting platforms or publicly available sources. We use this information to evaluate candidates, communicate with applicants, coordinate interviews, maintain recruiting records, improve our hiring process, identify candidates for current or future roles, and support recruiting-related analysis and administration. Candidate information may be accessed by Vert employees involved in recruiting or hiring and by service providers that support our recruiting systems, communications, scheduling, hosting, data storage, candidate sourcing, artificial intelligence, and interview transcription. These providers may include platforms such as Microsoft 365 and Teams, Otter, recruiting and sourcing tools, hosting and database providers, and AI service providers. We may use artificial intelligence to assist with tasks such as summarizing resumes and interviews, organizing candidate information, identifying evidence related to job requirements, supporting candidate research, and drafting recruiting materials. AI may assist our process, but hiring and advancement decisions are made by people. We generally retain candidate recruiting information for up to 24 months after the most recent recruiting activity, unless a longer period is required or permitted by law, necessary for a legal or business purpose, or the candidate becomes an employee and the information becomes part of an employment record. Candidates may also be considered for other Vert opportunities during this period. Questions or requests concerning candidate privacy may be sent to careers@vertenergygroup.com.

How long we keep your information

Candidate recruiting information will generally be retained for 24 months after the candidate’s most recent recruiting activity. Information may be retained longer when required or permitted by law, necessary to respond to a legal claim or investigation, subject to a legal hold, or otherwise reasonably necessary for a legitimate business purpose. If a candidate is hired, relevant information may become part of the employee’s employment records and will be retained under the applicable employee-record retention policies.

Interview recordings and AI

Some interviews may be recorded and transcribed to help our interviewers focus on the conversation, maintain accurate notes, and evaluate candidates consistently. Recordings and transcripts are used only for recruiting and hiring purposes and may be processed by service providers that support our interview and transcription systems. Recording occurs with candidate consent, and declining to be recorded will not negatively affect your candidacy.
